AI Email Security
What is advanced email security?
Advanced email security complements Microsoft 365 or Google Workspace by detecting targeted phishing, business email compromise, QR phishing and evasive malicious files that native filters miss.
AI email security. Technical guidance from My IT Channel for protecting business mailboxes against phishing, BEC, malicious files and post-delivery threats.
What advanced email security is
Advanced email security is the layer alongside business mail that catches threats native filters miss: targeted phishing, business email compromise, QR phishing and malicious files that activate only when opened. It does not replace Microsoft 365 or Google Workspace; it complements the controls where they are blind.
Email remains a major entry point for attacks. Native filters reduce basic noise, but modern attackers use targeted techniques that evade common heuristics. That is where an advanced security layer adds value.
Threats that pass native filters
AI-assisted targeted phishing. Attackers personalise messages for each victim and imitate internal writing styles. Sender reputation alone does not catch this when a legitimate account has been compromised.
Business email compromise. An attacker impersonates an executive requesting a transfer or a supplier bank-detail change. The message may contain no attachment or link, so content indicators alone see nothing malicious.
QR phishing. A QR code embedded in an image can evade desktop URL analysis because the employee scans it from a personal mobile device outside the corporate perimeter.
Sandbox-evasive files. Documents activate their payload only when they detect a real user and system. They require analysis that emulates realistic operating conditions rather than a minimal sandbox.
Email supply-chain attacks. A legitimate supplier with a compromised account sends a fraudulent invoice. Detection requires behavioural analysis of the mail flow, not only content inspection.
How a modern platform works
AI content analysis
The first layer analyses text, images and message structure. It detects impersonation language, artificial urgency, out-of-process financial requests and style imitation. Image analysis decodes embedded QR codes and evaluates their destination like a normal link.
Advanced sandboxing
Executable attachments and macro-enabled documents pass through sandboxes that emulate real systems, office tools and network activity. Short analysis times preserve mail flow while exposing payloads that trigger only in realistic environments.
Click-time URL analysis
Links are rewritten so the destination is assessed when the user clicks. If a site becomes malicious after delivery, the decision is made at the moment of risk.
Post-delivery remediation
When new intelligence shows that a delivered message is malicious, the platform can remove it from the recipient mailbox. This reduces exposure without waiting for a user report.
Data-loss prevention
The same engine can inspect outbound mail for sensitive data leaving policy boundaries: personal information, intellectual property and credentials. It can integrate with a broader DLP programme.
AI email security compared with alternatives
| Model | Coverage | Detects BEC | Detects QR phishing | Typical annual cost (500 mailboxes) |
|---|---|---|---|---|
| Native M365/Google filter only | Common threats | Limited | No | Included in licence |
| Legacy antispam | Known threats | No | No | $6K–15K USD |
| Cloud platform with AI | Advanced and common threats | Yes | Yes | $18K–45K USD |
| URL isolation | Suspicious URLs in browser sandbox | Partial | Yes | $25K–60K USD |
The cloud platform with AI is suitable for most mid-market organisations. URL isolation is an additional layer for verticals with high exposure to targeted phishing.
Use cases
Manufacturer prevents BEC fraud. A legitimate supplier account was compromised and sent a $180K invoice with modified banking details. Behavioural analysis spotted that the supplier had never previously requested an account change and held the message for review.
Fintech blocks a QR phishing campaign. A campaign used QR codes leading to a corporate credential-harvesting page. The platform decoded the QRs and blocked the messages before delivery.
Metrics a secure-mail programme should report
- Malicious messages blocked per week, segmented by phishing, BEC and malware.
- Time from the first threat report in one mailbox to remediation in the others.
- User-escalated false positives.
- Failure rate in controlled phishing simulations.
- Effective post-delivery remediation coverage.
- Outbound messages blocked for sensitive data.
Frequently asked questions
Does it replace Microsoft 365 or Google Workspace filtering?
No. It works alongside or in line with them. Native filters continue to catch basic noise while the advanced layer addresses targeted techniques.
Does it increase mail latency?
Delivery takes a few additional seconds because attachments and URLs are analysed. For end users the process is transparent.
Can it detect messages from legitimate compromised accounts?
Yes, through mail-flow behaviour analysis. A sudden change in a historical supplier or executive communication pattern can trigger an alert.
Does it protect internal mail?
Modern platforms can analyse internal mail too. Lateral attacks after an account compromise are an increasingly important vector.
Does it work for mobile mail?
Yes. Analysis occurs on the server before delivery, so the message displayed on mobile has already been assessed.
Can MSSPs offer it as a service?
Yes. Email security is one of the fastest services to activate in a managed portfolio. See the MSSP programme.
What is the difference between email security and anti-phishing?
Anti-phishing is one capability. Email security also includes anti-BEC, attachment analysis, URL protection, post-delivery remediation and sometimes DLP.
Does it support on-premises mail?
Most modern platforms focus on Microsoft 365 and Google Workspace. Some offer connectors for on-premises systems, with narrower coverage.
How long does implementation take?
Typically five to fifteen days. Modern platforms integrate through provider APIs without MX changes or service interruption.
How to get started
The initial conversation reviews current mail, attacks seen in the last 12 months and the customer’s vertical. Request it from the demo page. A limited pilot can be activated for a user group during the first week to show real blocks before full commitment.
Control criteria: document the validation of AI email security, record the evidence and confirm operational closure before moving to production.
